Terms and Conditions

1. Registration

By registering for KOJAIN Sammelan 2026, you agree to provide accurate and complete information. All registrations are subject to availability and confirmation by the KOJAIN organizing committee.

2. Payment and Pricing Tiers

All registration fees must be paid at the time of registration. Payment can be made via credit card through PayPal or via Zelle. Registration fees are based on three pricing tiers:

• Early Bird: Registrations until January 31, 2026 (11:59 PM PST)
• Regular: Registrations until April 30, 2026 (11:59 PM PST)
• Late / On-site: Registrations from May 1, 2026 onward

3. Registration Fees

Registration fees vary based on age, KOJAIN membership status, and the pricing tier at the time of registration. All ages are calculated as of July 24, 2026.

4. KOJAIN Member Pricing

KOJAIN member pricing is available if the primary registrant is a KOJAIN paid member. This member pricing applies to:

• The primary registrant
• The spouse (regardless of age)
• All children under 25 years of age in the same registration

For children above 25 years, a separate registration form must be completed to receive the member pricing.

5. Children Under 4 Years

There is no registration fee for children under 4 years of age. However, registration is still required for planning and safety purposes.

6. Cancellation and Refund Policy

Refunds are available based on the cancellation date (all deadlines are 11:59 PM PST):

• Full refund (100%): Cancellations made on or before March 15, 2026
• Partial refund (50%): Cancellations made between March 16 and May 15, 2026
• No refund: Cancellations made after May 15, 2026

To request a cancellation and refund, please contact the registration committee at info@kojain.com. Refunds will be processed within 14 business days of the cancellation request.

Alternatively, you may transfer your registration to another eligible family member by contacting the organizing committee at least 30 days before the event.

7. Event Changes

The organizing committee reserves the right to make changes to the event schedule, venue, or programming as necessary. In the unlikely event of event cancellation, registered attendees will be notified and refunds will be processed.

8. Photography and Media

By attending KOJAIN Sammelan 2026, you consent to being photographed and/or recorded during the event. These photos and videos may be used for promotional purposes by KOJAIN on social media, website, and other marketing materials.

9. Code of Conduct

All attendees are expected to conduct themselves in a respectful and appropriate manner throughout the event. The organizing committee reserves the right to remove any attendee who violates the code of conduct without refund.

10. Waiver and Release of Liability

In consideration of being allowed to attend the 2026 Sammelan celebration (referenced from now on as "The Event"), I acknowledge and agree that I accept full responsibility for the actions of all participants I am registering for The Event. I, for myself, all participants I am registering, and on behalf of my and their families, heirs and assigns, do hereby covenant not to sue KOJAIN and the organizing team (referenced from now as "The Team"), and do hereby waive any claim against The Team, and release and discharge The Event, KOJAIN, The Team, its volunteers, and sponsors from any and all liability for any and all claims, demands, losses or damages on account of any discipline imposed for failure to comply with the Guidelines, and on account of any injury, including death and damage to property, whether caused by negligence or otherwise. I also give my authority and permission to The Team for taking any and all actions, which it seems necessary in the event of injury and/or damage to persons or property in my presence at The Event.

I acknowledge that The Team does not maintain insurance covering my person, property or liability, or the person, property or liability of participants I am registering, in regards to The Event space. It is my sole responsibility to obtain any and all insurance covering losses incurred by me and participants I am registering while present at The Event.

COVID-19 and Health Risks: I and the participants I am registering for The Event understand that there could be health risks involved in attending The Event and after considering these risks are still interested in attending The Event. We agree to follow COVID-19 guidelines in compliance with the city, county, state, and federal regulations as applicable to The Event.

11. Personal Information

Personal information collected during registration will be used solely for event planning and communication purposes. We will not share your information with third parties without your consent, except as required by law.
